Clarify domain ownership, hosting, email, account access and recurring costs before launch. A practical checklist for a manageable website handover.
A website can look finished and still be difficult to manage. Problems arise when the domain belongs to the wrong account, invoices are unclear or nobody knows who can change DNS records. Website development and hosting should be discussed alongside ownership and access.
Separate the services
The domain provides the address, hosting supports publication and email services handle correspondence. These may come from one supplier or several. A platform subscription may include hosting while excluding domain registration and email.
Request a list covering each service, provider, account owner, cost and renewal date. This simple record separates the cost of building a website from the recurring cost of operating it.
Define ownership and team access
Essential accounts should be managed in line with contractual arrangements and the business owner’s interests. Use individual access or collaborator roles where available. Avoid dependence on one person and unnecessary sharing of a single password.
Document account recovery, billing contacts and responsibilities. Multifactor authentication and securely stored recovery methods are part of administration rather than visual design, but they matter to continuity.
Treat DNS changes carefully
Review existing records before connecting a domain. A change intended for the website can disrupt email if required records are removed. Prepare the changes, assign responsibility and define post-connection checks.
Test the main domain, redirected alternatives, HTTPS and form delivery. Where email receives commercial enquiries, confirm that messages reach the correct inbox as well.
Make the handover usable
The owner should know how to edit content, find invoices, request maintenance and change suppliers. Include an account inventory, administration instructions, support boundaries and an incident procedure.
Discuss portability before selecting a platform. Some services offer limited exports, and moving elsewhere may require rebuilding particular functions. Discovering this only when a relationship ends makes planning harder.
Frequently asked questions
Is hosting always included in the website price?
No. The proposal should specify any included period, limits and subsequent cost. External subscriptions may be invoiced separately.
Does moving a website also move email?
Not necessarily. They are separate services, but domain configuration must preserve the operation of both.
